Included Modules


Lookup personnel information within one central database with contact details, position, and current status. Profiles will display training levels, qualifications, experience, and attendance. Customize profiles with custom fields to add your own drop-downs and text fields.


Make the administration of qualifications and training records easy. Customizable pro-active email alerts will notify both the training officer and the individual that qualifications are soon to expire. Set required and preferred expectations based on group membership to identify training needs.

On-Call Planner

Your personnel can mark themselves on-call and off-call through our mobile app. Monitor available resources day-by-day and set required levels of personnel or qualifications to ensure the right complement of skills are always available on-call and ready to respond.


A complete attendance management system allows you to request personnel to attend training exercises and events. Personnel may confirm their attendance using our mobile app. Record attendance roles, times, and track absenteeism.


Target communications across multiple channels including SMS, email, and voice calling. Compose messages and target recipients based on their groups, operational capability, qualifications, attendance, membership lists, and availability. *SMS/Voice requires a Twilio account.


View a list of all personnel and their availability on a specific date or time. Against each person, you’ll have their current location, if they are attending an activity, and the ability to see if all their qualifications are still valid on this date.


Categorize attendance periods at activities into the specific roles undertaken by personnel. Track those roles and responsibilities and produce year-end reports on frequency and currency for each member of personnel in each role.


Manage your entire training program with a shared team calendar. Compatible iCal feeds for Outlook and Google Calendar are available and it is accessible directly through our smartphone application.


Build a schedule of pre-planned training exercises, request personnel to attend and collect their responses in real-time. Training exercises are directly comparable with D4H Incident Reporting entries to compare training versus your responses by resources, tags, attendance, and more.


Log activities such as meetings, maintenance, public events, and any other activities on your activities calendar. Request attendance, collect attendance responses in real-time and compile reports which can then be published for your records.


Organize members into groups for management and administration. Potential groupings could be dependent on rank, skills or specialty. Target communication messages, set attendance, and document qualification expectation by grouping.

Weekly Briefing

Each week on a day and time of their choice, we’ll notify your personnel by email about the upcoming tasks, activities, or on-call periods they are expected to attend over the next 7 days. They can easily confirm any unconfirmed attendance requests.

Smartphone App

Our companion 'Personnel' smartphone app is available to download for free on iOS and Android for all your members. This app provides easy access on phones to all the data a member needs to see their schedule, confirm attendance, and look up team details.

K9 & Handlers

Add K9's and assign handlers from your personnel. Track K9 attendance at activities and add basic profile information to each.

Health & Safety Reports

Report, analyze, and prevent accidents and near-misses. Link health & safety reports to activities, record corrective measures and create associated tasks to track actions through to completion.

Included Extras


Create and assign tasks to personnel, including project work or add to a pool of open tasks. Track these jobs and other actions from not started, in progress, to complete. Receive emails as tasks you’ve created are marked as complete.

Cost Recovery

Document the cost of activities including personnel attendance, time, meals, and mileage. Use this information for cost recovery or documentation. Other costs such as welfare needs, resources, and facilities may be added on to the same report.


Upload training materials, manuals, and resources to a shared document repository. Attach photos to training exercises and ensure security by adding permissions to folders. This enables you to access important documents from any location and device.


Start internal discussions about anything in the system such as activities, tags, and qualifications. Write comments, ask questions, and make proposals.


Members can write notes on your team whiteboard which appears on the team dashboard and within their mobile app. This whiteboard can be used for important notes to members and will automatically clear after a pre-defined period.

Address Book

A shared address book allows you to collect the contact details of suppliers, resources, and other external persons. Address book contacts can be added to activities by adding them as a resource and then selecting the contacts.


Tags allow you to track and measure frequency of activity within each of your capabilities and skills. Add tags for each area of competence you wish to track and apply them to relevant activities. We will show you a breakdown of activities by type against each tag.


Add your external resources such as other agencies, facilities, and organizations. Track as these resources attend you activities and then analyze and report on the frequency of different activity types of each by tag and attendance.


Automatical annual and monthly reports will document your continued progress. Create custom reports with dropdowns and keywords to filter your data. Both PDF and Spreadsheet exports are available for each report.


Quick visualizations of frequencies, distributions, of activities, attendance, and more. Gain an insight into patterns and trends to look for year-on-year growth or decline.


Keyword search is available on every screen to quickly find any entity within the system.

Access Levels

After adding all your members, you have the option to provide an access level. Break users up into Member, Member+, Editor, and Owner. Further, add specific permissions such as the ability to draft reports or basic functions.

Custom Fields

Our custom fields can be added to most entities within the system allowing you to customize their appearance and the data collected on each. Custom field data can be marked as secure or available to all members.

Spreadsheet Import

A self-service spreadsheet import tool is available to import member profiles. Download our template and rename your columns to match ours before importing.


Configure the privacy settings on member's profiles to choose what data you collect. Decide which contact details and personal information should be hidden, secured, or shared with other members.
