Categories and Kinds

Equipment and resource typing are key components for describing an inventory. Create categories and kinds of equipment to describe the jobs they get done and get accurate visualization of your response capabilities.


Create regular recurring audits, maintenance, and checks on your equipment. Notifications are flagged on a central dashboard and alerts emailed to maintenance personnel when an item of equipment is due to be inspected.


Maintenance of items of equipment can be identified, actions required documented, and further assigned to individuals. Repairs will be flagged on the assignee's dashboard and notification sent by email.


Identify the storage of equipment across multiple locations and buildings. Easily locate an item of equipment within the system. Permissioned members can filter equipment by location and create printable lists of equipment on a per-site basis.


Build out your manufacturers and models including the ability to attach manuals, photos, weights, and values automatically to items. Browse equipment by each manufacturer to see the lifecycle duration comparisons.

Nested Contents

Moving equipment into another piece of equipment allows for the creation of containers. For example, vehicles can contain equipment or palettes and bags made up of multiple items, allowing you to track and move your equipment effectively.


Set the supply level of each consumable you wish to keep in stock. Your maintenance personnel will receive alerts when consumables fall below required levels. Proactive alerts allow personnel to quickly action low supply levels of equipment.

Smartphone App

Our companion 'Equipment' smartphone app is available to download for free on iOS and Android for all your members. This app provides easy access on phones to all equipment data, scan barcodes, add repairs, and complete inspections.

Weights & Values

Once nested contents are built out, you can also see the total weight and value of its children. This is useful when shipping containers of equipment. Reports are generated based on single items, contents, category, and kind.


Connect a USB or Bluetooth barcode reader to your computer or use our companion smartphone app with built-in barcode scanning. Tap the Scan button to pull up the camera on your mobile device and scan a barcode.

Lost Item Register

Items of equipment that have been identified as lost can be updated to reflect their missing status. These items are removed from the available cache of equipment and added to a separate list until found.

Funding Sources

Perform grant and donation management by linking items of equipment to a specific funding source to allow for greater tracking of what equipment was bought when renewal or audit occurs. Add fund value and track until 100% allocated.

Service Logs

All manipulation of information regarding an item of equipment is tracked, allowing for the automatic creation of a service log. The log includes all inspection results, repairs, and operational status changes.

Funding Sources

Grant management. Link items of equipment to a specific funding source or grant to allow for greater tracking of what equipment was bought with the various funding sources. This feature also allows you to create a wish list of equipment.

Expiry Dates

View equipment by expiry date to ensure no item is missed across your entire cache. Prepare replacement budgets and plan for the distribution of new consumables or end of life items.


Items may be marked as a vehicle which will allow you to track an odometer value, and enter incident cost recovery by distance rather than by the hour.


Create suppliers for each item of equipment and assign a supplier reference number such as catalog number for reordering. Browse your equipment by supplier to see which has caused any difficulties in the past.

Operational Status

Each item of equipment can be marked as "Operational" or "Unserviceable". Items marked as 'Critical' will generate a dashboard notification when they become unserviceable.

Unique References

D4H will create a unique reference number for every item to ensure that every item within your cache has a unique way to track it. Reference numbers can be overwritten with an existing number, but uniqueness will still be enforced.

Create custom reports with dropdowns and keywords to filter your data. Both PDF and Spreadsheet exports are available for each report.


Upload training materials, manuals, and resources to a shared document repository. Attach photos to items and ensure security by adding permissions to folders. This enables you to access important documents from any location and device.


Keyword search is available on every screen to quickly find any item within the system.

API Access

Our API documentation is available to build integrations and add-ons. Our engineering team is available to assist you with any questions through our help desk.


Start internal discussions about anything in the system such as activities, tags, and qualifications. Write comments, ask questions, and make proposals.


Access Levels

After adding all your members, you have the option to provide an access level. Break users up into Member, Member+, Editor, and Owner. Further, add specific permissions such as the ability to draft reports or basic functions.

Custom Fields

Our custom fields can be added to most entities within the system allowing you to customize their appearance and the data collected on each. Custom field data can be marked as secure or available to all members.


D4H is available in a number of languages including English, Canadian French, Icelandic, and Danish. Localize your local account to match local measurement units and data formats.


Export all data as a spreadsheet by location, by kind, or by contents. PDF inventories may be generated of any view.

Retirement Reasons

Configure retirement reasons to get an insight into why equipment is reaching end-of-life. Reduce replacement costs by focussing on the most common reasons.
